2025 Summer Conference Staff Application
The Johns Hopkins University Summer Conference Program hosts over 6,000 guests each summer, including attendees of professional, athletic, and educational conferences. As a Summer Conference Staff member, you will be a key part of ensuring that every guest receives high-quality service, enjoys comfortable accommodation, and has access to the resources they need while staying in the residence halls. In this role, you will assist with the operational aspects of hosting summer conferences, including guest services, room preparation, and maintaining communication with both guests and university departments. You will gain valuable experience in event coordination, customer service, and team collaboration in a dynamic, fast-paced environment.
All staff members working with the 2025 Summer Conference Program must meet the following general criteria:
Training & Requirements:
- Eligibility: Must be a registered full-time student for Spring 2025 and Fall 2025 (unless graduating) and in good judicial standing with the University.
- Professionalism: Ability to maintain a professional demeanor, think critically under pressure, and provide excellent customer service.
- Computer Proficiency: Must be proficient with Microsoft Office and basic computer functions.
- Availability: Able to attend mandatory staff training from May 19 – May 24, 2025, and work from May 19 – August 7, 2025, with 25-35+ hours per week (including evenings, weekends, and possible overtime).
- Work Dates & Meetings: Must attend all mandatory training and staff meetings, including:
- Web Training: Complete by April 28, 2025, after reading the staff manual.
- In-Person Training: May 19 – May 24, 2025.
- Weekly Staff Meetings: Attend and participate in weekly staff meetings.
- Mandatory Work Days: Able to work all mandatory work days. (List of dates provided at the time of interview.)
- Other Summer Obligations:
- Class/Research: Enrolled in no more than one summer session class or unpaid research opportunity per session
- Jobs: Not working any other paid position within Johns Hopkins University or Hospital during the entire length of employment.
Compensation & Benefits:
- Hourly Rate: $15.00 per hour.
- Hours: 25-35+ hours per week, with required flexibility to work mornings, evenings, weekends, and on-call shifts. Including University holidays. Most hours will be 6-hour shifts between 6:30 am and 12:30 am with additional extra shifts that are scheduled a week or two out.
- Meals: 21 meals per week (when Hopkins Café and/or Nolan’s is open).
- Housing: If needed, on-campus housing will be provided beginning May 15, 2025. Staff members who are transitioning from regular campus housing to summer housing will be assigned a move-in time between May 15th and May 19th.
General Responsibilities:
- Customer Service: Provide professional, efficient, and courteous service to all summer conference guests. Ensure that guests receive a positive experience during their stay by promptly addressing their needs and inquiries.
- Operational Support: Maintain accurate paper and digital records related to summer conferences, including check-ins/outs, key inventories, and room assignments.
- Resource Assistance: Stay familiar with on-campus and off-campus resources to assist guests with information about the campus and the surrounding area.
- Communication: Maintain clear and effective communication with supervisors and university departments to report issues, emergencies, or concerns.
- Report maintenance or custodial issues in a timely manner.
- Report suspicious or dangerous activities to the proper authorities.
- Administrative Duties: Perform general office tasks such as data entry, answering phones, faxing, and copying.
- Conference Preparation: Assist with the preparation of conference materials, including brochures, keys, access cards, and meal cards. As well as preparing all residents halls with signage.
- Room Checks: Conduct pre- and post-conference room checks to ensure that rooms are prepared and properly cleaned.
- On-Call Rotation: Serve in an on-call rotation that operates nightly from 9pm-7am to assist guests with overnight needs, including check-in/out, lockouts, and other requests.
- Crisis Management: Make independent decisions and take appropriate actions in crisis situations, addressing problems and intervening as necessary.
- Guest Assistance: Provide hands-on support during guest check-ins and check-outs, assisting with the issuance of keys, room access, and other logistics.
- Facility Inspections: Perform daily inspections of common areas and residential floors to ensure cleanliness and order.
- Inventory Management: Maintain accurate records of furnishings and equipment in the residence halls and common areas.
- Other duties as assigned.
