Classroom Scheduling & Reservations

General Pool Classrooms

General pool classrooms are scheduled 8 am (start time) to 11 pm (end time), 7 days a week.

Student groups wishing to reserve a GPC on campus for a meeting or an event should submit their event through the Office of Student Leadership & Involvement – Hopkins Groups as required, using the 25Live Event Request form.

Student groups must be a Registered Student Organization in order to be eligible to schedule events – Hopkins Groups (login may be required).

Please note:

  • Request deadlines set by LEED and Scheduling & Event Services must be followed.
  • Request must be approved by LEED/Hopkins Groups to be scheduled.
  • Food and Beverages are not permitted in GPCs.
    • Groups found to have brought food into a GPC may have future reservations revoked, and may incur a cleaning fee.
  • No additional furniture should be added to the reserved classroom from dept., public, or other classroom spaces – and no furniture should be removed from the reserved classroom and moved into dept., public, or other classroom spaces.
  • Items and equipment may not be stored overnight in classrooms, even in the course of a multi-day event. OTR-HW is not responsible for stolen or damaged event/personal items.
  • The OTR-HW Scheduling Team does not arrange nor provide for any additional services related to events. All additional services should be requested through the event form and the providers (Custodial Services, A/V, etc.) directly.
    • Scheduled events requiring AV technical support, custodial and/or security services may incur charges.
  • Reservation requests are reviewed in order received and by event date.

Please note that space on campus is often in high demand and one’s preferred classroom is not always available; having alternate backup dates and/or times is strongly recommended.

In addition to general usage, there may be instances when classroom demand is higher than usual. Large campus events can limit how much space is available for other events to take place and/or the general resources available for all events taking place on campus. Please consider having alternate dates and times in mind should your preferred schedule coincide with such an event.

Student groups that reserve space in the GPCs should remember that the expectation is that classrooms will be returned to their “class ready” state, meaning that:

  • Furniture is set back in its proper place.
  • All event/presentation materials, signage, and general items are removed, boards wiped of writing, and the space is left clean.

Any group that reserves a GPC is assuming responsibility for that space. Any damages may be charged to the group reserving the space. The OTR-HW reserves the right to prohibit groups from reserving space in General Pool Classrooms for violation of these expectations.
